Course Owner Setup

Course owners and facility operators can request access to Golf Course Mode, which provides a dedicated dashboard for managing facilities, tracking golfer activity, and running events through RoundBoss.

Overview

Golf Course Mode is separate from the league manager interface. Once approved as a course owner, you get access to a facility management portal where you can create facilities, manage courses, post announcements, create events, and view analytics.

Requesting course owner access is free. Facility plans (Golf Course Starter and Pro) are paid — per facility, as a 6-month Season Pass or Annual term — and unlock the simulator features while covering every league linked to the facility with no per-seat fees. See Billing and Season Pass & Annual Plans.

Requesting Course Owner Access

Any existing RoundBoss manager account can request course owner access.

Log in
Log in to your manager account.

Navigate to request page
From the manager dashboard, navigate to Course Owner Request.

Fill out the form
Fill out the request form with your name, email, phone, and a description of the course(s) or facility you manage.

Submit
Click Submit Request.

Only one pending request is allowed at a time. If you already have a pending request, the form will show its current status instead.

Approval Flow

After submitting your request, a RoundBoss administrator reviews it.

You can check the status of your most recent request at any time from the Course Owner Request page. An email notification is sent to the admin team when a new request is submitted.

After Approval

Once approved, you will see a new Golf Course Mode link on your manager dashboard that takes you to the course owner portal.

Setting Up Your First Facility

Create facility
From the course owner dashboard, click Create Facility.

Enter details
Enter your facility details: name, address, city, state, zip, phone, email, optional website, and timezone.

Save
Click Save.

Adding Courses to a Facility

Open facility
Open a facility from your dashboard.

Go to Courses
Go to the Courses section.

Add Course
Click Add Course.

Enter course data
Enter course details: name, number of holes, hole pars, hole handicaps, slope rating, and course rating.

Save
Save the course.

Managing Simulator Bays

If your facility has golf simulators, you can register bays that connect to the RoundBoss Bridge:

Open facility
Open your facility.

Go to Bays
Go to the Bays section.

Add a bay
Add a bay with a bay number and optional name.

Download Bridge
Get the installer from your Manager Dashboard → My Bridge → Download Bridge (requires an active Golf Course plan). Install it on each simulator PC; the bay shows Online in the facility dashboard once the service starts. See Bridge Installation.

What Course Owners Can See

Course owners have access to analytics and round data scoped to their facility.

Privacy note: You can only see rounds played at your own course. You cannot see a golfer’s full history or anything from other courses or leagues.

Facility Features

Once set up, course owners can use these facility features:

  • Announcements — post updates visible to golfers who check in at your facility
  • Events — create tournaments, clinics, or social events with date, time, and capacity
  • Promotions — advertise deals or specials to your golfer community
  • Analytics — view round counts, usage trends, and golfer frequency (period selector, retention, popular tee times, per-course breakdown)
  • League Linking — connect leagues that play at your facility for golfer import and shared data
  • Golfer Check-In — provide a public check-in page for walk-in and event golfers
  • Solo Customer Invite — invite individual customers (no league required) and onboard them under your facility brand
  • Embed Standings Widget — drop a live leaderboard iframe into your facility website
  • Facility Messaging — 1-on-1 DMs and broadcasts to your active facility players

Inviting Solo Customers

You can onboard individual customers directly under your facility brand without going through a league. From the facility detail page, the Solo Customers card lets you:

Open Invite Solo Customer
Click + Invite Solo Customer on the facility detail page.

Enter the customer's email
RoundBoss sends a magic-link email branded by your facility (logo, name, and copy).

Customer signs up
The customer clicks the magic link, lands as a Solo player, and is bound to your facility automatically.

Manage your customers
List, resend invites, or toggle active/inactive from the same card.

First-facility-wins: each solo customer can only be bound to one facility. If the customer's email is already linked to another facility, the invite returns 409 Conflict.

League Linking

Connecting a league to your facility means the league is covered by the facility's Golf Course plan (no per-seat fees), and enables simulator bridge routing and shared standings.

  • For course owners — The Linked Leagues card on the facility detail page lists every league associated with your facility, their format, and their owner.
  • For managers — If you also manage leagues that should belong to your facility, RoundBoss shows a blue "Link this league to your facility..." banner on your league pages with one-click link buttons. The banner is dismissible per-league.
  • Importing Golfers — The Import Golfers action is gated. You can import into leagues you manage. For Path-B linked leagues (where a different manager has linked their league to your facility), the Import Golfers button is hidden — the manager controls their own roster, and the server enforces this guard. This protects manager autonomy from facility-side roster changes.

Embed Standings Widget

Each facility has a stable share token that powers a public embed at /embed/standings/{token}. Drop the iframe into your facility website and standings stream live: hero header with your facility logo, landing grid for every linked league, podium chips for top-3, weekly results, skins, CTP, and Longest Drive. The token survives facility ownership transfers, so embed URLs don't break when a facility changes hands.

Facility Messaging

Course owners can send 1-on-1 DMs or broadcasts to their active facility players. "Active" means the player is in a currently-linked league, OR they have an active solo customer record at your facility.

Unlink cuts off access. When a league unlinks from your facility, you immediately lose send/receive access to that league's players. Existing messages are preserved (not deleted), and access is automatically restored if the league re-links later. This protects player privacy when their league moves to another venue.
